AI Inbox Labels helps you see what needs your attention by automatically adding Gmail labels to incoming email.
Sortd AI reads new mail arriving in your Gmail Primary inbox and labels it according to the next action. Mail in the Promotions, Social, Updates, and Forums tabs is not read or labelled by this feature.
When you first turn it on, Sortd also labels your most recent Primary inbox emails so you can start using the labels immediately.
What the labels mean
Folder labels
| Label | Meaning |
|---|---|
| Read | Needs your attention, but no reply. |
| Respond | Someone is waiting for your reply. |
| Revisit | An open conversation where you’re waiting on someone. |
| Review | Notifications, receipts, and automated updates. |
| Relax | Finished, with nothing more to do. |
| R.I.P. | Marketing and newsletters. |
| Reconsider | Sortd couldn’t confidently assign a category. |
Secondary labels
Sortd adds these labels where they apply:
| Label | Meaning |
|---|---|
| Urgent | The email expresses explicit urgency or frustration. |
| Time sensitive | Dates or deadlines matter. |
| Waiting | You’ve handed the next step to someone else. |
| Pinned (waiting on me) | You said you would get back to someone. |
These are ordinary Gmail labels in your own mailbox, so they appear wherever you read your Gmail.
Before you begin
AI Inbox Labels requires:
A team with a paid plan that includes AI inbox labels.
Permission to use inbox AI from every team you belong to.
AI inbox labels switched on for your own inbox.
If none of your teams has an eligible plan, the setting displays a lock and shows which plans include the feature.
Enable AI Inbox Labels
There are two levels of control: team admins allow the feature, and each member controls it for their own inbox.
1. Allow inbox AI for the team
A team admin can check or change this setting:
Open Settings → Account, Teams & Users.
Open the relevant team.
Select the AI Admin tab.
Set AI in members’ inboxes to On.
This team setting is on by default, so no change is needed unless an admin previously switched it off.
2. Turn on labels for your inbox
Open Settings → AI Inbox Labels.
Set AI inbox labels to On.
Under Team paying for this, choose the team whose AI allowance you want to use.
Under Labels to apply, untick any folder or secondary labels you don’t want.
If only one team qualifies, it is shown automatically. If several teams qualify, labelling won’t start until you choose one.
New Sortd accounts start with AI inbox labels switched on. Accounts created before the feature was introduced start with it switched off.
Team permissions
Any team you belong to can block AI inbox labelling for your mailbox, even if another team pays for it.
If a team blocks the feature, the AI Inbox Labels tab displays:
Not running: switched off by a team you belong to
The tab also shows the team’s name and the reason. Ask that team’s admin to enable AI in members’ inboxes.
When an admin switches the team setting off, labelling stops for the team’s members and their individual setting is hidden. Members’ choices are saved and restored when the team allows the feature again.
Monthly allowance and usage
Inbox labelling uses the paying team’s monthly AI allowance—the same allowance used by AI on boards.
When the allowance runs out, new mail stops being labelled until the allowance resets the following month or a team admin raises the limit. You receive one notification when this happens.
To turn off that notification, go to Settings → Notifications → AI inbox labels monthly limit notifications.
Team admins can view each member’s inbox usage under AI Admin → Where the tokens went → AI inbox.
If the paying team no longer qualifies, labelling stops and the settings tab asks you to choose another team. Sortd does not automatically transfer the cost to a different team.
Repair missing or incorrectly displayed labels
While the feature is on, use Check my Sortd labels in Gmail to repair missing or incorrectly displayed labels.
Turn off AI Inbox Labels
Open Settings → AI Inbox Labels and set AI inbox labels to Off.
A Remove Sortd AI labels from Gmail button then appears if you want to remove the labels from your mailbox.
Your emails are sent to the AI model only while the feature is switched on.
